Enable and Manage a Waitlist - BETA

Don’t want to turn away eager Supporters? Enable a waitlist to capture Supporter interest and fill every open spot.

Enabling a waitlist lets organizers capture supporter interest, manage open spots efficiently, and maintain maximum attendance across every timeslot.

How it works:
❤️ Timeslot reaches max capacity
💛 Supporters click “Join Waitlist” on the event sign up page
💚 Organizers move WAITLISTED Supporters to REGISTERED status when spots open

Note: Depending on assigned role, Volunteer Hosts may not have the necessary permissions to enable the waitlist for their event. Read more about editing events as a Volunteer Host here.

Enable the waitlist for a timeslot

Step 1. Create or edit an event

From the Mobilize dashboard Events tab, click Create a Scheduled Event, or open an existing one and choose Edit.

Scroll to the Schedule section and select Add Times and input the timeslot details.

Step 2. Set timeslot max capacity

*Adding a max capacity is required before enabling a waitlist.

Step 3. Toggle on the Waitlist

Turn on the Enable a Waitlist toggle next to the max capacity field. Once finished, select the Add times button.

Step 4. Publish your event or your event changes

Repeat for each timeslot you want to include. Waitlists are per timeslot, not for the whole event.

⚙️ Note: Once a timeslot reaches its set maximum capacity, the Join Waitlist button appears automatically to Supporters for that timeslot.


Manage the waitlist

View waitlisted Supporters

Click the Waitlisted tab in the timeslot details view.

Update Supporters status from WAITLISTED to REGISTERED

  1. In the Waitlisted tab, find the Supporter you’d like to update to Registered.

  2. Update Status to REGISTERED

💡 Tip: Review the Signup date column to prioritize Supporters who have waited the longest. For larger waitlists, export the list as a .CSV and sort by Signup date and Status to identify the earliest waitlisted sign-ups efficiently.

✉️ The Supporter moved to REGISTERED will receive a “You’re now registered!” email

Supporters don’t receive SMS notifications while they are in WAITLISTED status.

FAQs

📋 Organizer Experience:

Will the Organizer get a notification email when someone signs up for the waitlist?

Not currently. Organizers do not receive notifications when someone cancels, even if it opens a spot.

For now, we recommend organizers regularly check shift capacity using the progress bar on the timeslot details page. It shows:

  • Whether the shift is full or has open spots

  • How many Supporters are currently waitlisted

What happens to the waitlist if the toggle is turned off after event creation or after a waitlist exists?

Nothing happens automatically. Waitlisted participants will remain in the WAITLISTED status even if the waitlist is later disabled or the capacity limit is removed. The system does not auto-move or remove them.

Does the waitlist have to be on for every timeslot?

Waitlist is enabled per timeslot, not for the entire event. Organizers can choose which specific timeslots will have waitlist functionality by setting max capacity and toggling it on.

How close to the event start time will people be able to come off the waitlist?

There is no system-enforced time limit. Organizers can manually move Supporters from WAITLISTED to REGISTERED at any time, including right before the event starts.

What does a waitlisted sign up look like in the Exports, SQL mirror, and API?

Yes:

  • Exports & DataSync: Waitlisted Supporters are visible in DataSync and in CSV exports

  • API: WAITLISTED is now included in public API read endpoints.

  • SQL: Participations with status = 'WAITLISTED' can be queried in SQL just like other statuses.

Does a waitlisted sign up show on a Supporter’s profile?

Yes. Waitlisted sign ups are part of the Participation model and are shown in the dashboard, so they would show in the Supporter tab views with the status WAITLISTED.

Are waitlisted Supporters able to receive emails via Mobilize Messaging? Do they get Ad-hoc emails about event cancellation?

  • Waitlisted Supporters do not get all standard participant emails.

  • They do not receive cancellation emails unless moved to REGISTERED before the event is cancelled.

  • Basically, they are not included in bulk comms unless moved to registered.

If an event with a waitlist is deleted and restored [all sign ups come back as cancelled], how will it work? What will be restored or not?

This will follow general Mobilize behavior for event or timeslot cancellations where sign ups show as CANCELLED. Waitlisted records would also be CANCELLED and the WAITLISTED status will not be auto-restored.

What happens between a cancellation and someone being moved off the waitlist?

  • The spot becomes immediately available to the public. Anyone visiting the signup page can claim the open spot even if there's a waitlist.

  • This is expected behavior in beta. Organizers have full manual control over advancing Supporters from the waitlist.

🤝 Supporter Experience:

What email or SMS notifications will Supporters receive about their waitlisted sign up?

Supporters will receive emails only, no SMS.

  1. Confirmation email when a Supporter joins the waitlist. The Organizer will not receive an email when a Supporter joins the waitlist.

  2. Notification email when Supporter is moved to "REGISTERED" From this email Supporter can:

  • Contact the organizer

  • Do nothing and remain REGISTERED

  • Cancel, and they’ll be marked as CANCELLED

Once the Supporter is REGISTERED, standard email and SMS reminders (if enabled/phone provided) will resume from that point forward.

Can a Supporter remove themselves from the waitlist?

No, Supporters cannot cancel their waitlist spot themselves. Organizers can change their status to CANCELLED.

Will Supporters see the events they are waitlisted for in their Volunteer schedule?

No, Waitlisted timeslots do not appear in the Supporter’s Volunteer schedule. They are informed only via email.
