🔐 How it works
A shift can be closed to further signups at a scheduled cut-off time or immediately.
Once a shift is closed, Supporters can no longer sign up for it.
If an event has one shift, closing that shift hides the entire event from Supporter-facing surfaces.
If an event has multiple shifts, closing one shift hides only that shift from the signup page and other Supporter-facing surfaces.
Who can do this?
The following roles can configure signup cut-offs or close shifts:
Admins - for any event
Organizers - for their own event
🆕 Option 1: Set a signup cut‑off time during event creation
Create a new event
Under the Schedule section select Add times
Choose the shift frequency, date and time details
Under the Registration Controls section, add how far before the shift starts signups should close
Select Add times
Repeat this process for any other shifts to be created
Select Publish to save changes

What happens after the cut-off time is set
When the cut‑off time is reached for a shift, Supporters can't sign up anymore:
The shift is not shown on Supporter-facing signup surfaces (feed, signup modals, carousels, emails)
For events with no available shifts, Supporters will see:
Other shifts in the same event remain available for Supporters
Add or edit a cut‑off on an existing event
Open the event to be updated
Select Edit event
Next to the timeslot to edit, select the Settings button
Update the Registration closes... field with the cut-off time
Select Update
Select Publish

What happens after the cut-off time is added
The new cut‑off applies immediately going forward.
If the cut‑off time is already in the past, the shift will no longer appear on Supporter-facing signup surfaces.
⚙️ Option 2: Close a shift immediately
Open the event to be edited
Select Edit event
Next to the timeslot to close, select the Settings button
Under Registration Controls, toggle on Close registrations for this shift
Select Update to save changes
What happens after registration is closed
When registration is closed for the shift, Supporters can't sign up anymore:
The shift is not shown on Supporter-facing signup surfaces (feed, signup modals, carousels, emails)
For events with no available shifts, Supporters will see:
Other shifts in the same event remain available.
❓FAQ
If I close a shift in advance, can walk‑ins still use the QR code to sign up and check in at the same time?
Yes. The QR code self check‑in path is independent of the shift cut‑off setting. When a shift is closed, people won’t be able to sign up after the selected time, but they can still check in using the QR code when they arrive at an event.
Where will events that have reached capacity be surfaced?
When a shift is closed (either via cut-off or manual close), the specific shift is hidden from all public signup surfaces (eg event feed, newsletter...), other open shifts for the same event remain visible and users can signup. If the event has only one shift, the entire event will no longer appear in those surfaces.
Does this feature work for Fundraising events?
Yes
If my shift has a waitlist, what happens?
If a shift is closed manually and you have enabled the waitlist, new supporters can join the waitlist.
How does this feature work with max capacity?
These controls are complementary, whichever happens first (capacity reached or cut-off time) will stop new signups.
Max capacity closes signups automatically when capacity is reached.
Sign-up cut-off closes signups based on time, (or closing manually now) regardless of capacity.
Can Host or Trusted Host user permission tier close registration for an event?
No, Hosts and Trusted Hosts cannot close registration for events they host. Admins can close registration for volunteer-hosted events.
