Sync checkbox field response to VAN/EA action platforms as an Activist Code or Survey Response

Use Mobilize checkbox additional fields to capture supporter data and sync it to your action platform in two ways:

Option 1: Apply an Activist Code

Option 2: Record a Survey Response

❗ Use one or both methods depending on how you plan to segment supporters in VAN/EA.


Before getting started

🟢 Your VAN/EA committee is connected to your Mobilize dashboard;

🟢 Your event types are configured in VAN/EA and in the VAN Settings tab in your Mobilize dashboard

Step 1: Create a checkbox additional field in Mobilize

As an Admin, you can manage and add additional signup fields to your organization’s library. To get started, navigate to the Additional fields tab in your dashboard:

To create a new additional field, select Create new field. For each field you create, you will need to fill in the field name, label, and type. To create a field to apply an activist code or survey response in VAN, select the type Checkbox, seen below.

Next, you can choose to configure an activist code, survey response, or both.

☑️ Option 1: Sync a Checkbox to Activist Codes

Step 1: Configure activist code in VAN/EA

Activist codes should be configured in VAN/EA the following way:

  • Scope: Public

  • Can Be Assigned or Removed is checked

  • Status: Active.

If all three things are true, you're ready to move on to the next step.

Note: To remove an activist code from a Mobilize dashboard, Administrators can change the Activist Code Status field to Archived or Inactive in the Action Platform committee.In the Action Platform committee:

  • An Archived Activist Code can still be used in searching, however it will not appear on normal lists in the committee.

  • An Inactive Activist Code will no longer appear in the committee unless an administrator reactivates it.

Step 2: Configure activist code in Mobilize

When creating your checkbox field, navigate to Select Activist Codes under VAN Activist Code Settings and select the activist codes you'd like to apply in VAN/EA for supporters who check this field when signing up for an event.

In the screencap below, the selected activist code "Snacks volunteer" is listed along with its VAN ID. You can assign as many activist codes to each checkbox field as you'd like.

After creating a new checkbox field, it will be visible in the Additional fields tab of your dashboard. To add an activist code to an existing checkbox field, select the Edit button next to the field, select the activist code you'd like to add, and then select Save edits when you're done.

How activist code data shows in VAN/EA

Attendees who check your checkbox field when signing up for your event will have the assigned activist code applied to their contact record in VAN.

✅ Option 2: Sync a Checkbox to Survey Responses

Step 1: Configure survey question and response in VAN/EA

The survey question and at least one response option will need to be configured in VAN.

Step 2: Configure survey response in Mobilize

One checkbox can map to multiple survey questions, but it records just one response per survey question. When configuring your additional field, navigate to VAN Survey Mapping Settings and select the survey question you'd like to use and the response that will be recorded for supporters who check this field when signing up for an event.

How survey response data shows in VAN/EA

Use the Survey Response Report in your action platform to generate a list of specific survey responses.

Step 2: Add additional signup fields to events

Once additional signup fields have been added to the Field library, admins and organizers will be able to add up to three additional fields when creating and editing events:

Note: To ensure signups for for Interest Forms, Pledges, Petitions or Groups will have checkbox field activist codes applied in VAN/EA. You'll need to do one of the following:

  • Set an activist code to be applied to all signups for the Interest Form, Pledge, Petition, or Group in the Customize VAN Settings section upon creation, or

  • Configure Interest Form, Pledge, and/or Petition as an event type in your dashboard VAN Settings tab.

Mobilize signup forms already collect essential contact information like name, ZIP code, and email address, which will be pre-filled for any supporter who has taken action on Mobilize previously. Additional fields will always appear on the signup page under these standard fields, as seen below.

Why sync checkbox fields to VAN/EA?

The volunteer data you capture with additional fields contains valuable information about your supporters. Sync checkboxes to activist codes or survey responses to save that data on your volunteers' profiles, use it to pull lists, and more. Here are some examples of how you can use the integration:

  • Store waiver information and have a record of each volunteer's waiver status and the date they filled out the waiver.

    • Checkbox field: I've read and completed [organization name's] waiver > Activist code: waiver completed

  • Increase engagement by including a volunteer checkbox in your petition, pledge, and interest forms.

    • Checkbox field: Contact me about volunteering! > activist code: volunteer: yes

  • Keep track of vital requirements like age, district, and more.

    • Checkbox field: I live in ward 4 > Activist code: ward 4 resident

Frequently Asked Questions

What troubleshooting steps can I take if an activist code or survey response isn't being applied to contact records as expected?

  • Confirm you have configured your Activist Codes in VAN/EA the following way:

    • Scope: Public

    • Can Be Assigned or Removed is checked

    • Status: Active

  • Confirm you have configured your Survey Questions and Responses in VAN/EA

  • Confirm the Event Type is configured in VAN Settings

  • Confirm the sign-up (s) in question were created after the activist codes or survey responses were configured

  • Reach out to [email protected] or your organization's CSM for additional support

Can I retroactively sync activist codes or survey responses from checkbox fields?

If you configure activist codes or survey responses for checkbox fields after an event is created and sign-ups were added, only sign-ups that occur after the new configuration will have the activist code or survey response applied in VAN/EA. If you change or delete an activist code or survey response, only sign-ups after that point will reflect the new settings. If you want to retroactively sync responses, please reach out to [email protected].

How do I know if an activist code or survey response came from a checkbox field in Mobilize?

There is no way to tell in VAN/EA that an activist code or survey response came from a checkbox field in Mobilize, only that it was synced by Mobilize API. We encourage you to use unique activist codes and survey responses for checkbox field responses if your organization wants to track the action that applied the activist code or survey response.
