Configure QR code self check-in
To enable this feature, toggle on Self Check-in on the event create or edit page, like in the screencap below.
When Self Check-in is toggled on, a View QR Code button will appear on the shift details page for each shift of the event. Select the button to display the QR code on a separate page, as seen below:
How supporters use Self Check-in
Once the organizer generates the code, they can easily copy it into a presentation or document for the event and share it with supporters at the in-person event. For virtual events, the organizer can take a screencap of and share the QR code at the event start time.
When a supporter scans the code, they'll be redirected to an event check-in page on their browser where they can confirm their name, phone number and zip code before checking in to the event, like this:
If the supporter has not previously signed up for the event, they can still check in! Entering their contact information on the check-in page will sign them up for the event.
If your event has multiple shifts, supporters will only see the relevant shift, based on the timing of their check-in.
If your event signup page uses additional fields, those will be hidden on the check-in page.
The supporter will then see a popup confirming they're checked in, along with a list of other event suggestions, as seen below. Their signup status will be marked as Completed.
FAQs
What kind of events and actions can this feature be used for?
QR code self check-in is only available for scheduled events, in-person or virtual. This feature is not available for any other action, including anytime actions, petitions, pledges, interest forms, fundraising campaigns, or groups.
When can supporters check in?
Supporters can only check in by scanning the QR code, which will be provided to them by the event organizer. The QR code will become active for check-in approximately one hour before the event start time. However, if they attempt to check in too early, they'll see a message indicating that the event hasn't started yet. If they attempt to check in after the event is over, they'll see a message indicating that the event has ended.
What happens if a supporter confirms their check-in using different contact information than they used to initially sign up?
The supporter will be matched to the email address they used to initially sign up for the event. If they check in with a different email address, they'll be checked in as a new signup. The status of their initial signup will remain Registered and the status of their new signup will be marked as Completed.
What happens if a supporter is a walk-in attendee?
If a supporter is a walk-in, meaning they haven't already signed up for the event, their check-in will serve as their signup. Their signup status will be marked as Completed.
Walk-ins will be able to check in even if an event has already reached max capacity. This feature will allow any supporter to check in to an event or shift that has reached max capacity, whether they've previously signed up for the event or not.
Since any additional fields will be hidden on the check-in page, walk-ins will not be able to provide the information requested in additional fields as part of their check-ins.
How does this feature work with the group signup feature?
If you have enabled the group signup feature for your event signup page, the group signup option will be hidden on the check-in page. This means that while individual supporters can check in using the QR code, we do not support group check-ins via the QR code or group signups for walk-in attendees. We will consider supporting group check-ins in future iterations of this feature.
How does this feature work with Spanish language events?
Attendees can check-in to a Spanish language event. However, the check-in page has not been fully translated to Spanish. When the QR code feature is enabled for a Spanish-language event and an organizer presents the QR code to attendees, the page they will be presented with when scanning the QR code (or will navigate to for virtual events) will have some elements in English and others in Spanish. We plan to fully translate the page into Spanish in future updates.
